Top 10 Questions From the New Student Information System Website:

 

1)       What is EASIS+?  EASIS stands for “Early Access SIS” and provides the college users an early version of what will ultimately become Maricopa’s SIS database.  The ‘+’ indicates that it includes Maricopa converted data.  Each release of EASIS+ is cumulative: it includes all previously released functionality and data, as well as new functionality and additional converted data.  We are currently on EASIS+ Version 4 and plan to have several more releases prior to final go-live. 2)       What can I expect to see in this release EASIS+?  A great deal of documentation accompanies the release of EASIS+ V4.  This information is available on the project website at http://www.maricopa.edu/nss.  Select the EASIS Plus link to find a welcome letter, the FERPA tutorial, release notes, functional scenarios with step-by-step navigation, training scenarios, and a list of all working system processes by module.

 

3)       Where can I find other information about the project?  The project website continues to grow.  Please visit http://www.maricopa.edu/nss to find out the latest and greatest information.  Or, talk with your college CIT Manager.

 

4)       How do I communicate my questions about the project or EASIS+? Use the NSS website feedback via email tool. Access the new Student System website at http://www.maricopa.edu/nss. Scroll down the left side of the screen, click on the “Feedback” label. The “Feedback via E-mail” link will automatically open an email window addressed to dl-student-nssfeedback@memo.maricopa.edu for you to ask your question or state comments to Project team members. Posting your questions to the web allows them to be distributed to the CIT tri-chairs, Project Planning Team (PPT), and others.

 

5)       How will training be conducted for the new SIS?  The project team will be conducting Train-the-Trainer sessions, where 2 college-identified trainers for each ‘module’ (Admissions & Campus Community, Financial Aid, Student Financials, Student Records, Academic Advising) will be trained to use the new SIS.  The college trainers will then conduct End User Training on their college sites.

 

6)       When will training be scheduled?  The Intro to SIS Train-the-Trainer half-day sessions are scheduled for the week of November 15, 2004.  Financial Aid I Train-the-Trainer sessions are scheduled for December 2004.  Financial Aid II and all other modules’ Train-the-Trainer sessions are planned for March 2005.  Colleges are free to schedule End User training as dictated by college needs and scheduling demands.

 

7)       When will the training materials become available? The plan is to have all training materials completed and available by Spring 2005.  Materials will be posted to the Web as they are developed, between now and March.  The materials under development do not require modification by the college trainer prior to delivery to end users, unless the college trainer wishes to customize them.

 

8)       When will the new system be implemented?  All functionality (Recruiting and Admissions, Academic Advising, Financial Aid for Aid Year 2006-2007, Student Records, and Student Financials) is targeted to begin in SIS February 2006.  Financial Aid processing for Aid Year 2005-2006 will continue in legacy until final reporting is completed in late 2006. 

 

9)       What type of ‘Help Desk’ support will be provided after go-live? SIS helpdesk Phase I (at go-live) and Phase II (ongoing support) strategies are currently under development. Draft materials have been distributed to CIT managers, who are working closely with Keli Jones to define the help desk support model.  At this time, the expectation is that colleges will provide student ‘help’.

 

10)   When will the new SIS be implemented in 2006?  The SIS Executive Committee met and reviewed the ITS and CIT recommendation to delay implementation from February and July of 2005 to February 2006.  At this point, Tuesday February 21, 2006 is the ‘planning date’ for implementation of the new SIS.
